Policies
At CálmaTe Mind & Body, policies are in place to support a safe, respectful, and high-quality experience for every client while protecting the time and care involved in providing one-on-one therapeutic services. By scheduling an appointment, you acknowledge and agree to the following policies.
Scheduling & Booking
To ensure the best possible experience, new clients must call or text to schedule their first appointment. Returning clients may be able to manage or request appointments through the booking system, depending on service type and availability.
Intake Forms & Consultation
All clients are required to complete an intake form prior to receiving services. This information allows sessions to be approached thoughtfully and safely. Clients are responsible for keeping their health history current and notify CálmaTe Mind & Body of any changes.
New clients will receive an email once their first appointment is scheduled with instructions for completing required intake and consent documents. These forms must be completed at least 24 hours prior to the scheduled appointment. Services may not be provided until all required forms have been submitted and reviewed.
A consultation takes place before each session to review goals, concerns, and any relevant updates. At the conclusion of the session, a short debrief occur to discuss findings, aftercare suggestions, or next steps as appropriate.
Consultation and debrief time are not counted toward the selected hands-on session duration. Clients should plan for their total appointment time to be slightly longer than the service length booked.
Appointment Times & Late Arrivals
Appointment times are reserved specifically for you and include preparation, charting, and sanitation between sessions. Please arrive on time to receive the full benefit of your session.
If you running late, please text to inform us. Late arrivals will not extend the scheduled session time, and the full session fee applies even if hands-on time is reduced. If a late arrival prevents the session from being completed, it will be treated as a late cancellation.
Cancellations & No-Shows
A minimum of 24 hours' notice is required to cancel or reschedule an appointment. Appointments cancelled with less than 24 hours' notice, or missed entirely, will be charged 50% of the scheduled service fee.
A valid card on file is required to secure all appointments but will not be charged at the time of booking. Repeated late cancellations or no-shows may require prepayment for future scheduling.
Exceptions for verified illness, emergencies, or severe weather may be made at the discretion of CálmaTe Mind & Body.
Professional Conduct & Session Termination
CálmaTe Mind & Body provides therapeutic and relaxation massage and bodywork only. Professional boundaries are strictly maintained at all times. Your comfort and safety is our priority.
Clients and practitioners have the right to end a session at any time if discomfort, safety concerns, or inappropriate behavior arise. Inappropriate behavior includes, but is not limited to, sexual comments or advances, harassment, threats, disrespectful language, or arriving under the influence of drugs or alcohol.
Sessions terminated due to inappropriate conduct will be charged in full, and future services may be refused.
Draping & Privacy During Sessions
Clients are properly draped at all times, with only the area being worked exposed. Breast and genital areas remain covered and are never massaged. These standards are non-negotiable and are in place to ensure safety, comfort, and professionalism.
Health, Safety & Environment
Clients are responsible for disclosing relevant health information and for notifying CálmaTe Mind & Body of any changes prior to sessions. Massage services should be avoided if you have been advised against bodywork by a medical professional, or if you are experiencing contagious illness, open wounds, abrasions, sores, infections, hygiene concerns, or any condition that may pose a risk to your health or the health of others.
CálmaTe Mind & Body reserves the right to refuse or discontinue services if health or safety concerns are present.
Pet Allergy Notice
Please note that a dog and cat are on the premises. They are not in the treatment room during the sessions. The studio is cleaned and maintained multiple times daily; however, a completely dander-free environment cannot be guaranteed. Clients with allergies should take this into consideration when booking.
Privacy & Confidentiality
All client information, including intake forms and health history, is kept confidential and will not be shared without written consent unless required by law. Clients are encouraged to keep their information current to support safe and effective care.
Gift Cards
CálmaTe Mind & Body gift cards represent prepayment for goods and services only. Gift cards cannot be redeemed or refunded for cash except where required by law. Under federal law, gift cards are valid for a minimum of five years from the date of purchase. No expiration date within that period will reduce the card’s validity.
Gift cards must be presented, either physical or digital, at the time of redemption for services or product purchases. Lost or stolen gift cards may be replaced with the remaining balance only when the original purchase receipt is presented. Unused gift card balances may be subject to state unclaimed property laws if not redeemed within the applicable time frame. If you believe a gift card balance may have been reported as unclaimed property, please contact us for assistance.
Gratuity
Gratuities are not included in service pricing but are always appreciated. Tips may be added to card payments or provided via cash or Venmo at the client's discretion.
